Why most budget tracker templates fail at the one job that matters

Every budget template makes the same promise: track what you spend against what you planned. Most of them keep it — as a manual exercise.

Then month-end arrives. Someone exports the transactions, eyeballs the totals, and discovers that Marketing blew through its budget three weeks ago. The spending already happened. The dashboard was technically correct the whole time — it just never told anyone there was a problem.

What the big three actually give you

We ran the official budget templates from Airtable, Notion, and Smartsheet through our extraction pipeline — same rubric, same review panel, all three scored on demand, reusability, and enterprise readiness. Each one contains exactly one idea worth keeping. None contains all three.

Airtable: the right data model

Airtable's Personal Budget & Debt Tracker separates Categories, Transactions, and Debt into linked tables. That matters because when a transaction is a record linked to a category — not a row in a flat spreadsheet — you get rollups that compute themselves. Change a transaction amount and the category total updates instantly, everywhere it's referenced.

What it's missing: variance. There's no budget-vs-actual comparison. You can see what you spent but not whether that's more or less than what you planned. And it's scoped as a personal finance tool, not a team budget — no departments, no shared categories.

Notion: the right monthly entry UX

Notion's Monthly Budget Template has the lowest-friction data entry of the three: a clean, month-by-month structure where adding a transaction is as simple as filling a row. The template understands that if entering a transaction takes more than five seconds, people stop entering transactions.

What it's missing: structure. Everything lives in one database with month tags. There's no separate category entity, no linked budget goals, no rollup across months. It's a beautifully simple list that can't answer "are we on track for the quarter?"

Smartsheet: the right variance reporting

Smartsheet's Business Budget Management set is the only one of the three with a real answer to the budget-vs-actual question: planned-vs-actual columns with variance and burn-rate calculations, feeding a management dashboard. The template knows that the interesting number isn't what you spent — it's the gap between what you planned and what you spent.

What it's missing: a data model. Everything lives in one sheet. Categories are row groupings, not linked records. Transactions aren't individual entries — they're manually totaled into period cells. And the variance calculations require manual updates; nothing flags overspend automatically.

The rebuild: all three ideas, one open source template

The fair question: Google Sheets has dozens of budget templates. Why does open source matter for a budget tracker?

A real data model, not a flat grid. The most popular Google Sheets budget templates are spreadsheets — rows and columns, formulas that break when you insert a row in the wrong place. A relational budget tracker with linked tables doesn't have that problem. Add a transaction, and every rollup, variance, and flag updates itself.
