Lead: PTO tracking should not require a dedicated HR platform. But it does require more than a shared spreadsheet — because spreadsheets do not deduct balances when requests are approved, they do not notify managers when someone submits a request, and they do not warn anyone when a team is about to have three people out on the same Friday.

We analyzed the PTO and leave management features from BambooHR, Gusto, and Airtable. Each one handles part of the workflow. None of them — including the two full HR platforms — ship all four things a small business actually needs in one place: balance tracking with auto-deduction, an approval workflow that notifies managers, absence overlap detection, and a scheduled digest of upcoming time off.

Why most PTO trackers create more work than they save

The promise of a PTO tracker is simple: know who is off, when, and how much balance they have left. The reality is that most trackers handle the recording of time off but not the workflow around it.

Manual balance management. An employee takes three days off. Someone — usually in HR — has to subtract three from their balance. If they forget, the balance is wrong for the rest of the year. If the request gets cancelled, someone has to add the days back. Every manual adjustment is a place where the math breaks.

No approval notification. An employee submits a PTO request. Their manager does not know about it until the employee follows up in person or on Slack. The request sits in a spreadsheet row that nobody is watching.

No overlap visibility. Two engineers request the same week off. Both get approved because the manager approved them separately, each in isolation. The team finds out during sprint planning that they are losing half their capacity the week before a release.

No forward visibility. What does the team's availability look like for the next two weeks? Most PTO trackers can answer that question — but only if someone logs in and filters by date range. Nobody does that proactively. The information exists; the notification does not.

What the competitors actually give you

BambooHR: the right workflow

BambooHR is the standard PTO management tool for small-to-mid-sized companies. The request-and-approval flow is clean: employee submits, manager gets an email, manager approves or denies, balance adjusts automatically. The calendar view shows team availability. For companies with 50+ employees and a dedicated HR function, BambooHR works.

What it costs: BambooHR does not publish pricing, but reported costs start around $6-$8/employee/month. For a 30-person company, that is $200-$240/month. The PTO features are bundled into a broader HR platform — payroll, onboarding, performance reviews — which is efficient if you need all of it and expensive if you only need time-off tracking.

Gusto: the right integration

Gusto connects PTO tracking to payroll, which is where it actually matters. When an employee takes PTO, the hours flow through to payroll automatically. Accrual policies are configurable — accrue per pay period, accrue annually, unlimited PTO with tracking. For companies using Gusto for payroll, the PTO module is a natural add-on.

What it costs: Gusto's base plan is $40/month plus $6/employee/month. PTO tracking is included, but the features that make it powerful — custom policies, advanced reporting, team calendar — are in the higher tiers. And if you are not using Gusto for payroll, you are not using Gusto for PTO.

Airtable: the right data model

Airtable's PTO tracking templates separate Employees, Requests, and Policies into linked tables. You can model accrual types, track balances per category (vacation, sick, personal), and build views by team, by month, by status. The structural flexibility is genuine.

What it does not do: the workflow. No approval notifications. No auto-deduction. No overlap detection. The template gives you the database schema for PTO tracking and leaves the process to you. Someone still has to manually update the balance column.

The rebuild: PTO requests that handle themselves

The Attendance & PTO Tracker template runs on Baserow and automates the four steps that manual PTO trackers leave to humans.

PTO balance tracking with auto-deduction. Each employee has a balance per leave type — Vacation, Sick, Personal. When a PTO request is approved, a formula automatically deducts the requested days from the appropriate balance. If the request is cancelled, the balance is restored. The math is never wrong because no one does it manually.

Approval workflow with event-triggered alerts. When an employee submits a PTO request (creates a new record with status "Pending"), their manager gets an email. The email includes the employee name, the dates requested, the leave type, and the remaining balance after approval. The manager changes the status to Approved or Denied. If denied, the employee gets an email with the reason. Each alert fires once per state change and re-arms automatically.

Absence overlap detection. A formula field checks approved and pending requests against the same date range within the same team. If two or more team members have overlapping approved time off, both records are flagged. The manager sees the conflict before approving the second request, not after.

Scheduled upcoming-PTO digest. A weekly email goes to each manager: who is off next week, who has pending requests, and any teams with overlap flags. The digest also surfaces employees with low remaining balances — a heads-up that prevents the end-of-year PTO rush.

Working sample data. The template ships with ten employees across two teams, twenty PTO requests in various statuses, and three deliberate overlap scenarios. Two employees have low balances. The formula flags and digest demonstrate themselves immediately.

Evaluation checklist for any PTO tracker

  1. When a request is approved, does the balance deduct automatically or does someone update it manually?
  2. Does the manager get notified when a request is submitted, or does the employee have to follow up?
  3. Can the system detect overlapping absences on the same team before approval?
  4. Is there a scheduled digest of upcoming time off, or does someone have to log in and check?
