How It Works

Formula Flags. The Over_Policy_Limit field is a formula that looks up the policy limit for the expense's category and compares it against the line item amount. If the amount exceeds the limit, the flag is true. A Total_Flagged_Amount rollup on the report level sums all flagged items so approvers can see the total policy exposure at a glance.

Event-Triggered Alerts. A Baserow automation monitors the report status field. When a report transitions to "Submitted," the automation sends an email to the linked manager with the report total, number of line items, and whether any items are policy-flagged. The _notified_submitted stamp records that the alert was sent. If the report is returned for revision and resubmitted, a new stamp cycle begins.

Scheduled Digest. A second automation runs daily. It queries three things: reports pending approval (with age in days), line items flagged for policy violations, and reports approved but not yet reimbursed. The digest lands in the finance lead's inbox every morning with clear action items.
