SOP Library & Review Tracker Template — Catch Every Stale Procedure Before the Auditor Does
Target Keyword: SOP template Secondary Keywords: SOP management, standard operating procedure tracker, ISO document control, SOP review schedule Vertical: Compliance & Quality Word Count: ~1,000
An SOP nobody has reviewed in two years is worse than no SOP at all. It gives your team false confidence, exposes you to audit findings, and creates liability the moment someone follows an outdated instruction. Most SOP templates are glorified document lists — a spreadsheet with columns for "Title" and "Owner" that tells you nothing about whether your procedures are current, reviewed, or compliant.
The OpenSource AI Pro SOP Library & Review Tracker is a working document control system. Every procedure carries a review schedule. When a review date lapses, a Needs_Review formula flag fires automatically — no one has to remember to check. The right document owner gets an email alert the moment their SOP goes stale. A daily digest rolls up every overdue review into a single morning briefing for your quality manager.
Key Features
-
Needs_Review Staleness Flag — A formula field evaluates each SOP's last review date against its review cycle. The flag flips to "Needs Review" the instant the procedure is overdue. No manual status updates, no calendar reminders to forget.
-
Review-Status Rollup — See your entire SOP library health at a glance. How many procedures are current? How many are overdue? What percentage of your library has been reviewed in the last 12 months? These numbers update themselves.
-
Owner Event Alert — When a procedure's status changes to Needs Review, the assigned document owner receives an email notification automatically. The alert fires exactly once per state change and re-arms when the review is completed.
-
Scheduled Daily Digest — Your quality manager receives a morning summary of every SOP currently flagged for review. No logging in, no dashboard checks — the system comes to them.
-
Hierarchical Document Organization — Organize SOPs by department, process area, or ISO clause. Link related procedures. Track version history and approval chains.
-
Audit-Ready Views — Pre-built views filter by review status, department, owner, and compliance framework. Pull up every overdue procedure in two clicks when the auditor asks.
How It Works
The Formula Flags
Every SOP record includes a Last_Reviewed date and a Review_Cycle_Days field (default: 365 days, configurable per procedure). The Needs_Review formula compares today's date against Last_Reviewed + Review_Cycle_Days. When the result is true, the flag fires.
No code. No scripting. The formula evaluates on every page load, so your status is always current.
The Event Alerts
When a procedure transitions to "Needs Review" status, an event-triggered automation sends an email to the assigned document owner. The alert includes the SOP title, last review date, and a direct link to the record. The trigger fires once per transition and re-arms automatically when the SOP is marked as reviewed.
The Scheduled Digest
A daily automation collects every SOP currently flagged as Needs Review and sends a consolidated email to the quality manager (or any distribution list you configure). One email, every morning, with everything that needs attention.
