Most org chart templates are diagrams. Someone draws boxes in PowerPoint, Lucidchart, or Visio, connects them with lines, and publishes a PDF that is outdated by the next reorg. When a manager moves teams, someone has to redraw. When a new hire joins, someone has to remember to add them. The chart is always a snapshot of the past, never a live view of the present.

The OpenSource AI Pro Org Chart Builder is not a diagram — it is a relational database. Every employee record has a Reports_To linked field pointing to their manager. Change that link, and the entire reporting chain updates instantly. A rollup field on each manager record counts their direct reports live. A Missing_Manager formula flag identifies any employee whose Reports_To field is empty — orphaned nodes in your org that nobody noticed. No redrawing. No stale PDFs. Just a single source of truth that reflects your actual structure right now.

Key Features

  • Live Org Tree via Self-Referencing Links — Each employee record links to another employee record via the Reports_To field. This creates a true hierarchical tree inside Baserow — not a drawing, but a queryable data structure. Change one link and every downstream rollup recalculates.

  • Direct Reports Rollup — A rollup field on each employee counts how many people report to them. Instantly see span-of-control metrics: which managers have 2 reports, which have 15, which have none.

  • Missing_Manager Flag — A formula field flags every employee whose Reports_To field is empty: if(field('Reports_To') = '', true, false). New hires who were added but never assigned to a manager surface immediately, not weeks later.

  • Department and Level Tracking — Each record includes department, job title, level, and location fields. Filter the org by any dimension to see structure within a specific team, office, or seniority band.

  • Event-Triggered Alert on Orphaned Records — When a new employee record is created without a Reports_To link, an automation emails the HR admin. No orphaned nodes accumulate silently.

  • Headcount Rollups by Department — Rollup fields aggregate employee counts by department, location, and level. Your headcount report builds itself.

How It Works

  1. Add employees. Each row in the Employees table represents one person. Fields include name, title, department, level, location, start date, and — critically — a Reports_To linked record field pointing to their manager's row.

  2. The tree builds itself. Because Reports_To is a self-referencing link (the Employees table links to itself), Baserow automatically creates a reverse lookup: each manager's record shows a Direct_Reports field listing everyone who reports to them. A rollup counts that list.

  3. Flags catch gaps. The Missing_Manager formula evaluates on every view load. Any employee without a Reports_To link is flagged. A filtered view shows only orphaned records so HR can assign them.

  4. Alerts prevent drift. An event-triggered automation watches for new rows where Reports_To is empty and sends a single notification to the HR admin. A weekly digest summarizes any remaining unassigned employees.

Who It's For

  • HR teams at growing companies (50-500 employees) where the org changes faster than anyone can redraw a chart.
  • People Ops leads who need accurate headcount and span-of-control data without running manual reports.
  • Executives and department heads who want to see their team structure in real time without requesting a report from HR.
  • Companies going through reorgs, mergers, or rapid hiring where the org chart changes weekly and static diagrams cannot keep up.

vs the Alternatives

Drawing tools give you a picture. HRIS platforms give you the data but charge per head. This template gives you a queryable, formula-driven org structure at zero cost.
